Capital Crew Booster Club (CCBC) – 2017-2018 Directory

The Capital Crew Boosters Club Board of Directors and Coordinators meet the second Tuesday of each month at 6:30 pm in the upstairs meeting room of the Aquatic Center. All Booster members and potential Booster members are welcome. Please see the Calendar for more specific information.

If you are interested in any of the vacant volunteer positions below please contact the board member associated with the position. Volunteering is a fun way to get to know what goes on at crew and get to know other parents. Click on the name of the position to learn more about it. We look forward to working with you!

  • President
    The President of the Board will:

    • Have the usual powers of supervision and management as may pertain to the Office of the President, except that the President does not have voting powers except to break a tie among those CCBC officers present and voting on a particular matter;
    • Preside at meetings of the organization and the Officers;
    • Act as the chief executive officer of the;
    • Will exercise and perform such other powers and duties as the Board may delegate from time to time;
    • Compose a letter of introduction to solicit membership to be included with the Capital Crew sign-up packets;
    • Coordinate a presentation at the mandatory Fall Varsity and Novice parent meetings describing CCBC, what it does, and how athletes’ families can contribute;
    • Coordinate a presentation at the mandatory Spring parent meeting for rowers new to Capital Crew describing CCBC, what it does, and how athletes’ families can contribute;
    • Advertise/solicit/encourage spring membership via flyer, email announcement, and at spring rower meetings and regattas;
    • In coordination with VP of Communications and Public Relations, send frequent email blasts(at least monthly) to all rower families detailing CCBC past activities, future events, upcoming race schedules, explaining what to expect at races such as parking, athlete food, and race day schedule, clarifying when, how, and why CCBC dues are payable, and encouraging CCBC membership from those who are not already members;
    • Co-sign all CCBC checks with the Treasurer, or designate another CCBC officer to do so;
    • Be an ex-officio member of all committees except the nominating committee;
    • Review scholarship applications and participate on scholarship approval committee;
    • Work with the Secretary to ensure that the CCBC bylaws are kept up to date, accurate, and comply with applicable current laws and regulations, and set Officer meeting agendas;
    • Maintain a binder with current copy of the Bylaws, prior annual report, minutes, budget to date, newsletters, and descriptions of all activities and processes that are the responsibility of the President; and Perform other duties as directed by the Board.

  • Secretary
    The Secretary will:

    • Keep and cause to be kept at the principal office of CCBC or such other place as the Board may direct, a current copy of the Articles of Incorporation and the Bylaws;
    • Give, or cause to be given, notice of all meetings of the members, of the Board and the Board’s committees as required by these Bylaws;
    • Keep or cause to be kept, at the principal office of CCBC or such other place as the Board may direct, a book of minutes of all meetings, proceedings, and actions of the Board, and committees of the Board;
    • Prepare the minutes of meetings which include the time and place that the meeting was held, whether the meeting was monthly, annual or special, and, if special, how authorized, the notice given, and the names of those present at the Board, Officer, and committee meetings;
    • Electronically send out the minutes of the previous meeting to all Board members within one week of the meeting, and when corrections are recommended, amend the minutes accordingly, and reissue them for review;
    • In conjunction with the President, develop an agenda and send out electronic reminder notices of upcoming monthly meetings to the Officers;
    • Give, or cause to be given, notice of the Fall Meeting to the CCBC Membership, and ensure that the Vice-President Communications or Webmaster sends those notices electronically to the members;
    • Give, or cause to be given, notice of the Spring Meeting to the CCBC Membership, and ensure that the Vice-President Communications or Webmaster sends those notices out electronically to the members;
    • Give, or cause to be given, notice of the Annual Meeting to the CCBC Membership, and ensure that the Vice-President Communications or Webmaster sends those notices out electronically to the members;
    • Create and distribute a CCBC director roster at the beginning of the fall season with names and contact information of each Director, Officer, and Non-Officers;
    • Maintain a binder with current copy of the Articles of Incorporation, Bylaws, CCBC Membership forms, ballots from the Annual Member meeting, Notice of each member meeting, agendas, minutes; and Perform other duties as directed by the President or the Board.

  • Treasurer
    Treasurer. The Treasurer will:

    • With the President, sign all contracts and other instruments when authorized by the Board of Directors;
    • Develop the CCBC budget and provide budget status updates at monthly Officer meetings;
    • Keep and maintain, or cause to be kept and maintained, adequate and correct books and accounts of the corporation’s properties and transactions, which will be open to inspection by any director at all reasonable times;
    • Deposit or cause to be deposited all money and other valuables in the name and to the credit of the corporation with such depositories as the Board may designate;
      1. Record and make all deposits for membership, donations and other income in the CCBC bank accounts;
    • Disperse the corporation’s funds as the Board or Officers may direct;
      1. Pay all CCBC bills; and
      2. Reimburse for expenses incurred on behalf of CCBC
    • Co-sign all checks over $1,000 with the President, or the President’s designee;
    • Maintain accurate ledger entries for all expenses and income;
    • Reconcile all CCBC accounts monthly and produce a monthly Treasurer’s report;
    • Send or cause to be given to the Directors or Officers the financial statements and reports as are required to be given by law, these bylaws, or the Board;
    • Render to the President and the Board, when requested, an account of all transactions as Treasurer and of the financial condition of the corporation;
    • Oversee or recruit the Logo Merchandise Coordinator and regularly communicate with the Logo Merchandise Coordinator, the President, and other CCBC officers as needed;
    • Participate on scholarship committee to review scholarship applications;
    • Maintain a binder with, at least, current copy of the Bylaws; bank statements, reconciliations and justifications; budget status to date; annual report; expense forms, in categories with receipts; Franchise Tax Board filings; Secretary of State filings not kept by the Secretary; and Perform other duties as directed by the President or the Board.

  • Logo Merchandise
    Reports to the Treasurer.

    • Regularly communicate with the Treasurer, the President, and other CCBC officers as needed to ensure that the inventory is well-planned and organized, and that fundraising goals are met.
    • Facilitate the buying and selling of CCBC logo wear for athletes, coaches, and parents. Ensure proper and safe storage of logo wear.
    • Maintain seasonably adequate inventories of all logo merchandise.
    • Sell logo merchandise at all home events and meetings.
    • Maintain financial records of purchases and sales.
    • Submit all invoices to the Treasurer for payment.
    • Provide date, times, and numbers of needed volunteers to Webmaster for volunteer sign-up.
    • Communicate with and coordinate volunteers.
    • Establish a relationship with a local vendor for an on-line store to sell and ship, at a minimum, duffel bags. Embroidered items, such as polo shirts, are a good match for online sales.
    • Submit photos and current information to the Webmaster for the CCBC Shop web page.
    • Coordinate with a technical rowing clothing company to have an on-line store at the beginning of each semester. Promote these items at parent meetings, events, and online via the Webmaster.
    • Coordinate with a technical rowing clothing company to have trou available for in-person sales at the beginning of each semester. Attempt to sell the trou on a consignment basis so that you may return all unsold trou after the first month of the season.

  • VP Activities
    The Vice-President of Activities will:

    • Perform all duties and be subject to all restrictions of the President during CCBC Board meetings if the President is absent or disabled;
    • Oversee or recruit an Ergathon Coordinator and regularly communicate with Ergathon Coordinator, the President, the Treasurer, and other CCBC officers to ensure a successful fundraiser;
    • Oversee or recruit a World Record Fundraising Coordinator and regularly communicate with World Record Fundraising Coordinator, the President, the Treasurer, and other CCBC officers to ensure a successful fundraising event;
    • If needed, and in cooperation with the Treasurer, oversee or recruit a General Fundraising Coordinator and regularly communicate with the General Fundraising Coordinator, Treasurer, the President, and other CCBC officers to ensure that the Board’s fundraising goals are met with well-planned and coordinated events;
    • Oversee or recruit an Awards Banquet Coordinator and regularly communicate with Awards Banquet Coordinator, the President, and other CCBC officers to ensure a first-class banquet;
    • Maintain a binder with, at least, current bylaws, detailed steps and contact information for all activities; and

    Perform other duties as directed by the President or the Board.

  • Coordinator Ergathon
    Reports to the VP of Activities.

    • Regularly communicate with the VP of Activities, the Treasurer, the President, and other Officers to ensure that the Ergathon’s fundraising goals are met by hosting a well-planned and coordinated event.
    • Coordinate and verify Ergathon date with CSUS AC and CC coaches.
    • Supply the Webmaster with date, times and number of volunteers if needed for letter writing day and the day of the Ergathon.
    • Coordinate with Webmaster to ensure a working link for accepting electronic payments.
    • Coordinate to send notices to each rower home to explain the event, request addresses, stamps, and envelopes from each rower.
    • Coordinate with the Rower Food – Home Coordinator for rower food needed at the Ergathon.
    • Coordinate with the Logo Merchandise Coordinator for sales at the Ergathon.
    • Provide copies of letters for all rowers on letter writing day. Collect and mail all letters.
    • Once letters have been sent, collect mail from the CCBC mailbox at least 3 times per week.
    • Record all donations received in a worksheet with athlete name and donor address. Deposit all checks.
    • Keep accurate records with addresses for all Ergathon donations, and produce donor labels for all Ergathon donors sorted by the rower sponsored.
    • Communicate with and coordinate volunteers during the Ergathon.
    • Arranging for printing of the Thank You postcards.
    • Supply lists of donors and Thank You notes to all rowers.
    • Mail postcards.
    • Distribute prizes to rowers as decided by Officers.

    Reports to the VP of Activities.

    • Responsible for any additional fundraising the Officers approve, such as restaurant fundraisers, retail promotions, and other fundraiser
    • In conjunction with the Awards Banquet Coordinator and VP of Activities, manage a silent auction at the Awards Banquet if the Officers approve.
    • Regularly communicate with the VP of Activities, the President, Treasurer, VP of Communications and other Officers to ensure that objectives are met.

  • Coordinator, Awards Banquet
    Reports to the VP of Activities.

    • Regularly communicate with the VP of Activities, the President, Treasurer, and other CCBC officers to ensure that the banquet is a well-planned and coordinated event.
    • Coordinate banquet date and time with CSUS AC management, CC coaches, and CSUS Facilities (if not already scheduled).
    • Coordinate with the CC coaches to determine the banquet program events and order of presentations.
    • Prepare announcement and advertise the banquet through Vice-President of Communications and Webmaster/Volunteer Coordinator.
    • Identify and secure a motivational/keynote speaker, if wanted.
    • Select and order awards for the rowers.
    • Order certificates for presentation to rowers. Select and order banquet ballroom decorations.
    • Select and purchase gifts for coaches.
    • Prepare and order programs.
    • In conjunction with the Photography Coordinator, assist coaches, if needed, to organize photo slide show presentation.
    • Coordinate banquet date and time with CSUS AC management, CC coaches, and CSUS Facilities for following year’s banquet.

  • VP Hospitality
    The Vice President of Hospitality will:

    • Oversee or recruit a Rower Food – Home Coordinator and regularly communicate with the Rower Food – Home Coordinator, the President, and other CCBC officers to ensure the smooth and consistent delivery of rower food at all home rowing events.
    • Oversee or recruit a Rower Food – Shopping Coordinator and regularly communicate with the Rower Food – Shopping Coordinator, President, Treasurer, and other CCBC Officers and Non-Officers to ensure the smooth and consistent delivery of food at all home events.
    • Oversee or recruit a Rower Food – Away Coordinator and regularly communicate with the Rower Food – Away Coordinator, the President, and other CCBC officers to ensure the smooth and consistent delivery of rower food at all away rowing events.
    • Oversee or recruit an End of Season BBQ Coordinator to be held both days of Southwest Regional Junior Championships and regularly communicate with the BBQ Coordinator, the President, and other CCBC officers to ensure that the BBQ is well-planned and well-executed.
    • Maintain a binder with, at least, current bylaws, current procedures and contacts for all VP of Hospitality and Coordinator activities; and
    • Perform other duties as directed by the President or the Board.

    Reports to VP of Hospitality.

    • Regularly communicate with the coaches, VP of Hospitality, the President, Treasurer, and other CCBC officers to ensure that the rowers’ food is well-planned, timely delivered, and appropriate.
    • Work with VP of Hospitality, the CCBC President, and other CCBC officers to decide the rower food budget.
    • Provide dates, times, and numbers of needed volunteers to Webmaster for volunteer sign-up for all home races when the coaches determine that food should be served at the event.
    • Keep inventory of supplies in CCBC trailer and coordinate with the Parent Hospitality Tent Coordinator to ensure adequate supplies for both and avoid redundancies.
    • Communicate with and coordinate volunteers.
    • Prepare food or delegate preparation.
    • Set-up and serve food for all rowers for home races as requested by coaches, and clean up afterwards.
    • Arrange with the AC for the trailer to be brought out the morning of each home race.
    • Return all remaining supplies to the trailer at end of season.

      • Regularly communicate with the VP of Hospitality, the President, Treasurer, and other CCBC officers as needed to ensure that the BBQ is well-planned.
      • Communicate date and time to VP Communications (Saturday and Sunday of Southwest Junior Rowing Championships in May).
      • Determine the menu, costs for food and supplies, verify budget with the Treasurer, and determine ticket prices.
      • Prepare and give announcement to advertise the BBQ to the Vice President of Communications and the Webmaster Coordinator.
      • Provide dates, times, and numbers of needed volunteers to Webmaster for volunteer sign-up.
      • Collect payments and record the names of ticket purchasers and/or coordinate online ticket purchases with the VP of Communications.
      • Communicate with and coordinate volunteers.
      • Set-up, serve and clean-up (with additional volunteers) on both days of BBQ.

    • VP Communications

      The Vice President of Communications will:

      • Obtain from the VP of Membership a current list of email addresses of all rowers and parents through a CCBC form included in the Capital Crew sign-up packets that will request placement on an email distribution list; Oversee or recruit a Webmaster Coordinator and communicate with that Webmaster Coordinator, the CCBC President, and other CCBC officers as needed to ensure the Webmaster Coordinator performs the duties as requested by the Board;
      • Oversee or recruit a parent Squad Representative for each squad(VM, VW, NM, NW), who will act as CCBC liaisons and work with the VP of Communications to gather and disseminate information to the rowers and Capital Crew families;
      • In coordination with the President, send frequent email blasts(at least monthly) to all rower families detailing CCBC past activities, future events, and Capital Crew race schedules, explaining things such as what to expect at races(i.e., parking, athlete food, and race day schedule), when and how and why dues are payable, and encouraging CCBC membership from those Capital Crew families who are not already members;
      • In Conjunction with the VP of Membership and Public Relations Coordinator distribute public relations campaigns via social media channels and forward information to the Webmaster to post on the CCBC website;
      • Send out email surveys(at least once a year) to all rowers and parents to obtain, at least, opinion information;
      • Work with the President, other CCBC officers, and the Webmaster to develop design goals and specifications for a robust CCBC website, obtain and evaluate at least three bids for revising or replacing the CCBC website(as needed), and, with approval of the Board, engage a website designer to ensure that the CCBC website works properly, is efficient and easy to navigate, can be accessed quickly by as many people as possible, promotes CCBC as a professional organization, promotes the CC rowers and coaches, and meets the practical needs of the Board, coaches, rowers, parents, and interested members of the community;
      • Oversee or recruit a Photography Coordinator to capture Capital Crew events and upload photos to a site designated by the Webmaster and/or the VP of Communications. ;
      • Maintain a binder with, at the very least, all account passwords, license numbers and other necessary information; procedures and contacts for all Coordinator positions; and
      • Perform other duties as directed by the President or the Board.

    • Social Media Coordinator
      Social Media Coordinator: Reports to the VP of Communications.

      • Regularly communicate with the VP of Communications, the President, VP of Membership, Public Relations Coordinator, and other CCBC officers as needed to promote CCBC activities and community via social media.
      • Assure that social media communication is an appropriate reflection of the CCBC and that communication is the popular format for each medium.

      Reports to the VP of Communications.

      • Regularly communicate with the VP of Communications, the President, Treasurer, and other CCBC officers as needed to develop design goals and specifications for a robust CCBC website, obtain and evaluate at least three bids for revising or replacing the CCBC website (as needed), and, with approval of the Board, engage a website designer to ensure that the CCBC website works properly, is efficient and easy to navigate, can be accessed quickly by as many people as possible, promotes CCBC as a professional organization, promotes the CC rowers and coaches, and meets the practical needs of the Board, coaches, rowers, parents, and interested members of the community.
      • Institute or maintain a “Volunteer Sign Up” system where parents can volunteer for jobs as requested by each Coordinator.
      • Continually monitor, update, and improve the security and performance of the CCBC website.
      • Perform other such duties as the President, VP of Communications, and Officers may designate.

    • Photography Coordinator
      Reports to the VP of Communications.

      • Regularly communicate with the VP of Communications, the President, VP of Membership, Public Relations Coordinator, and other CCBC officers as needed to capture images of CCBC activities and community.
      • Regularly photograph Capital Crew events—fun practices, events, races, etc., seeking to capture all athletes in all boats.
      • Manage the CCBC image library so that photos may be seen from the CCBC website, photos may be used in CCBC promotional materials.
      • Assist other photographers in getting their images into the CCBC library to be viewed on the website.
      • As needed, assist the coaches in putting together end-of-season slide shows for the Awards Banquet.

    • VP Membership
      Vice-President of Membership. The Vice President of Membership will:

      • In conjunction with the Secretary, Treasurer and CSUS Aquatic Center office, track how many Capital Crew families are paid CCBC members;
      • Oversee or recruit an Alumni Day Coordinator and regularly communicate with Alumni Day Coordinator, the President, and other CCBC officers to ensure a well-attended and enjoyable event;
      • Work with the Logo Merchandise Coordinator and Parent Hospitality Tent Coordinator to select Booster membership incentives, and ensure that the items are ordered and distributed to members.
      • Oversee or recruit a Parent Hospitality Tent Coordinator and regularly communicate with the Parent Hospitality Coordinator, the President, and other CCBC officers to ensure the smooth and consistent delivery of food and hospitality to CCBC members at all rowing events.
      • In conjunction with the VP of Communications and/or the Webmaster, assure that the information on the website is helpful to parents, especially for those families new to rowing.
      • Assure that copies of the rowing information webpages are available at the Parent Hospitality Tent.
      • Oversee or recruit a Media Promotion Coordinator who will produce and distribute public relations materials about CCBC, Capital Crew athletes, coaches, fundraising, college scholarships, and Capital Crew rower participation in national and international events and development camps;
      • Oversee or recruit a Historian and communicate with the Historian, the President, and CCBC officers as needed to ensure the Historian performs the duties as requested by the Board;
      • Maintain a binder with, at least, current bylaws, current procedures and contacts for all Membership activities; and
      • Perform other duties as directed by the President or the Board.

    • Coordinator, Parent Hospitality Tent
      Reports to VP of Membership.

      • Regularly communicate with the VP of Membership, the President, Treasurer, and other CCBC officers to ensure that the Boosters’ food is well-planned, timely delivered, and appropriate.
      • Display Booster signs on tents.
      • Provide dates, times, and numbers of needed volunteers to Webmaster for volunteer sign up for all home races. Provide a continental breakfast for the Boosters’ families on home race days.
      • Purchase coffee, juice, water, etc. and light breakfast items and snacks to serve at a hospitality tent. (The Coordinator typically pays for these items out of pocket and is reimbursed by the Board. The Coordinator should know in advance what has been budgeted for these purchases. When purchases are anticipated to exceed $1,000.00 or an amount approved by the Officers, an advance may be requested two weeks before the event.)
      • Communicate with and coordinate volunteers.
      • Designate one person to get the parking pass from the AC office on race days and coordinate bringing in food and supplies.
      • Keep inventory of supplies in CCBC trailer and coordinate with the Rower Food – Home Coordinator to ensure adequate supplies for both and avoid redundancies.
      • Provide Booster membership applications and make available Capital Crew and rowing information to parents and interested parties visiting the Hospitality Tent.
      • Facilitate the collection of payments for dues (or give instructions on how to pay using the web site or the box in the CSUSAC office)
      • Distribute wristbands, t-shirts, Parent/Rower Handbooks, and other incentives to Booster members.
      • Act as the “face” of the Board for direct communication to rower families.

      • Plan the program events.
      • Determine the menu, costs for food and supplies, and verify budget with the Treasurer.

      Reports to VP of Membership.

      • Regularly communicates with the VP of Membership and other CCBC officers as needed.
      • Develop and/or maintain historical archives of the CCBC.
      • Compile information on alumni of CCBC (colleges attended, rowing career highlights, etc.) through internet searches and responses to the Alumni Questionnaire.
      • Continually update the Alumni Roster.
      • Supply Alumni Roster to Alumni Day Coordinator.
